IT Project Request Submission Checklist

Before submitting your IT project request, ensure the following elements are considered:

  1. Clear Project Objectives
    • Define the goals and objectives of the project.
    • Ensure alignment with university and IT strategic goals.
  2. Business Justification
    •  Provide a strong business case explaining the benefits.
    •  Highlight how the project addresses a problem or seizes an opportunity.
  3. Scope of Impact
    •  Identify which departments, users, or systems will be affected.
    •  Determine whether the project has a local, departmental, or cross-organizational impact.
  4. Stakeholder Identification
    •  List key stakeholders who will be involved or impacted by the project.
  5. Resource Requirements
    •  Outline the resources required (hardware, software, personnel).
    •  Identify any additional resources needed from ETS.
  6. Timeline and Milestones
    •  Propose a realistic timeline, including key milestones and deadlines.
    •  Account for any known dependencies or delays.
  7. Risk Assessment
    •  Conduct a preliminary risk assessment.
    •  Include potential risks and mitigation strategies.
  8. Alignment with Institutional Priorities
    •  Ensure the project aligns with institutional and strategic priorities.
  9. Cost Estimates
    •  Provide a detailed budget estimate, including one-time and ongoing costs.
    •  Identify how the project will be funded.
  10. Compliance and Security Considerations
    •  Confirm any compliance requirements (HIPAA, FERPA, etc.).
    •  Address any security concerns, especially with sensitive data.
  11. Sustainability and Scalability
    •  Consider long-term sustainability and ongoing support needs.
    •  Assess whether the project can scale if needed.
  12. Existing Solutions
    •  Check for existing solutions within the institution that meet project needs.
  13. Measurable Outcomes
    •  Identify key performance indicators (KPIs) or outcomes to measure success.
    •  Define how you will evaluate the project's impact.
  14. Dependencies and Constraints
    •  Identify any project dependencies or constraints (budget, time, etc.).
